2. Thursday: Mehndi and Haldi Ceremony

Time: Thrusday, May 5th from 10am - 2pm

Location: Sharma AirBnb (550 Lakeshore Dr, Hilton, NY 14468)

Attendees: All Wedding Guests Are Welcome

Food: Home-made Indian Lunch

Attire: Casual or Kurta/Salwar

From 10am onward, the Sharma family will be hosting a couple of traditional Indian pre-wedding events. There is a loose program of two events (see below), poeple are free to come and go as they please, and food will be availbe throughout. The atmosphere is typically akin to a house party.

The first is called the Mehndi, which an informal ceremony at which the henna is applied to the brides hands and feet. Cait will have henna designs professionally created applied to her. Every one else can grab a henna cone and draw some fun designs on each other! Just don't do a face tatoo before the wedding!!!

The second event is called Bhootana, where haldi or turmeric paste is applied to the bride and groom to prepare them for the wedding. In this case, Keshov will have the haldi applied to him by family members and friends, which signifies their blessings for the wedding. People can poke Cait's face with some haldi too, if they dare.

3. Rehearsal at Pomona

Location: Pomona at Blue Barn (918 Manitou Rd, Hilton, NY 14468)

Attendees: Parents and the Wedding Party.

This is a standard wedding rehearsal, but we will have to step through the whole day. As such, the timeslot is 1 hour. The program is listed here as well to confirm what is occuring.

4. Rehearsal Dinner

Time: Arrive between 5:30pm and 6pm

Location: Abraham Lincoln Park Lodge (500 Smith Rd, Webster, NY 14580)

Attendees: Per-invite. Contact Keshov or Cait for clarification

Food: Dino BBQ

Attire: Casual

Aunt Pattie is organizing set-up for this at 5pm. Karen and Peter Sr. are coordinating the drinks. The food is arriving at 5:45pm via delivery from Dino BBQ. Ample parking at location, right next to the lodge. Should just be a chill time without much structure.

5. Out for the Night

Time: After the rehearsal dinner (8:30pm) to 10:30pm

Location: East & Alexander (see map)

Attendees: Whoever would like to come. Call Keshov if you need details.

We're thinking that we might go to Axes & Ales to do a little ax-throwing. Just a fun thing that Keshov has not tried before. Beyond that, maybe a little bar hoping and trying some different food. Not trying to go too crazy before a big, endurance day!

6. Friday: Wedding Day

6.1. Notes for the Guests

  • Guests of the Groom attending the Baraat will need to arrive by 12:15pm so that they can join the procession. Do not go into the venue - across the front of the Blue Barn Cidery (to the right) to join the procession. See early notes under Indian Ceremony for details of how to arrive.

  • The overall length of the day is 12:30 to 10:30. It's a marathon, not a sprint. Hydrate accordingly.
  • Guests are welcome to wear Indian attire for the Indian wedding and change to Western/American attire for the Western Ceremony and reception. This is not a requirement and staying in Indian or Western attire for the entire time is perfectly fine.
    • If you are planning on wearing both Indian and Western attire, you will need to change in the break between the cermonies. Consider keeping your Western attire in the car so you can change in the restroom at Pomona or drive to one of the houses nearby to change.
    • The locations of houses can be found on the Custom Google Map for this event linked under Quick Info Links.
  • You do not need to attend both ceremonies - feel free to show up for the portions of the ceremonies that you can reasonably attend.
  • There will be snacks provided during the break between ceremonies. However, you are also welcome to try some food at Blue Barn Cidery next door during this time.

6.2. Setup

Cait and the ladies are arriving at 8am. Keshov and the men are arriving at 10am. However, Keshov will likely be on site earlier. He will be availabe until about 12:15, when he will leave to join the baraat across the parking lot. The horse will be arriving around noon or sooner.

6.3. Indian Ceremony

Guests of the bride should head directly into Pomona from the parking lot. Guests of the groom should not enter Pomona. Instead, they should park and the walk to the right(facing Pomona)/south to meet that Baraat (groom's wedding party) outside. See the diagram below for generally where to go and the progression of the Baraat.

6.3.1. Baraat

The Baraat will start towards the south of the parking lot, against the building. We will meet in the "start" region, out of sight of the front of Pomona. Once everyone is present and Keshov is on the horse, we will start walking accross the front of the Blue Barn building to the front of Pomona:

Once you hear the music, it's critical that you dance! Dance your like you've never danced before!!! Basically, have a party and make some noise. The point of this tradiation is get everyone's attention to the fact that the groom is arriving. The dancing keeps going up to the point that groom's party meets up with the brides party at the front of Pomona.

The guests of the bride can watch grooms arrival and join in on the dancing as the groom's party gets nearer.

@Heather: Please set up in the area shown above, with ample room for a large group of people to stay out of side of Pomona. Someone will bring a blanket directly to you when you arrive, during set up.

@Diana: I'm thinking that a single shooter with each party at this point is the way to go. The bride is not technically supposed to be outside with her party, so maybe a few pictures of her seeing this party through the window?

@Josh: I'm thinking it's best that to stay with the groom's party and document the progression from that point of view. People will probably have videos on their phones from the other perspective that can be used. Feel free to hand-off the Zoom phone/camera to a Bobby or Arun during this time.

@Steve: Dhol music should start up as soon as we can see someone from the groom's party in the parking lot (or once the group starts moving). The transition from this to the Milni (next event) is pretty fluid, so you're fine to keep the dhol music going through the next event and people will likely be dancing during the Milni as well. Consider adjusting the volume down a bit during the Milni so it's in the background more.

6.3.2. Milni (Meeting of the families)

Depending on the temperature, we will either do meeting of the families outside, in-front of Pomona or within the attrium at Pomona (where we have a greenery wall). The people that will be meeting each other are:

@Hannah: The garlands with white and gold (but not roses), will be used at this time. People will hand them off to each other after they are taken out.

@Diana: One shooter will likely be dedicated to this for as long as it goes, with some people wanting pictures with the garlands afterwards. The shots listed above are "must get" shots.

@Hannah, @Steve, @Josh: If the milni is going on longer than 1:20 or people want to stay back to take pictures with the garlands, we are good to have me proceed to the mandap. Steve can just play the processional music and I'll start heading over there. It's ok for people to be left behind or have the milni still going on while I'm getting in the mandap (in Indian culture).

6.3.3. Pooja Under the Mandap

@Josh: A classic video shot that we want is a close up of our feet as we walk around the fire. Typically used as a video with a more dramatic audio behind it. Walking around the fire signifys the point at which we are officially married.

@Steve: Will discuss on-site about background music with the pujari. Feel free to remind me with a call. Priyanka will explictly cue you for the right time to start the dance.

6.4. Intermission

During this time, guests are welcome to change clothes (on-site in restrooms or by heading to a house nearby), explore Pomona/Blue Barn, get something to eat and generally hang out.

The Bride and Groom have a critical time-table during this time:

If pictures are not complete during this time, they can spill over into the cocktail hour. However, we would like to avoid this.

@Hannah @Diana: As discussed, keeping us to this timetable is somewhat critical. Prioritizing pictures in the Indian attire to parents and with those not previously taken is probably the way to go.

@Steve: As discussed, our cocktail hour playlist is fine for this time.

6.5. Western Ceremony

Arun will be running this ceremony per this script (restricted access link). Overall, it is a standard ceremony without heavy customization; however, the tree planting is at the end.

@Steve: Arun's last lines is after the tree planting (not the kiss) when he says "May the love and joy of your family and friends, gathered as witnesses to your union, forever nourish your relationship and strengthen your bond. Thank you all for being with us here today!" The recessional should start here.

6.6. Cocktail Hour

Standard cocktail hour, which is overtime for pictures. Guests are welcome to play some games and, of course, get a drink.

6.7. Dances and Speeches

7. Saturday: That Daran Pooja

Attire: Causal or Kurta/Salwar

A prominent post-wedding event in our culture is a prayer (pooja) dedicated to the pomogranite tree. The overall process is roughly 10 - 15 minutes of prayers followed by having the couple recieve blessings from the people present at the pooja. We will start the prayers at 11am and, once they are done, people are free to eat lunch and hang out while the blessings are being given.

8.2.1. Emerald Point Cocktail Notes

Was inspired to throw together a drink that makes use of extra Pino Grigio that I don't want to drink. Made the following mix and put it in a martini glass with a lime twist around an ice ball garnish:

  • Lemon slice, Mint leaves from one sprig, Lime slices - muddled added ice
  • 1 oz Triple Sec
  • 2 oz Club Soda
  • 2 oz Pinot Grigio (can try a swap for Reisling?)
  • Cap full of Grapefruit bitters mix
  • Shaken then double strained into martini glass

Gave a fresh "minty, tart" taste without being over bearing. Cait really likes this drink.

8.3. Josh Barnum

8.3.1. Zooming the Indian Ceremony

The bulk of the Indian Ceremony will be from 12:30-2:30 on Friday, May 6th. This span of time covers the arrival of the groom on the horse, meeting of the families at the front of Pomona, all the ceremonial things occurring under the mandap, and the recession from the mandap.

  • Please have a Zoom meeting spanning 12:15-3:00pm EST to cover this region of time with live streaming

As discussed, groomsmen Amit "Bobby" Sharma or Arun Venkataraman (the tallest Indian there) can take over streaming (hold your phone) while things are in motion to allow you to focus on the proper videography.

  1. Pomona is right off Manitou Rd, which you will be following for some time. The thing to recognize is that there is a large church on the right side, that takes up 1000+ft before the entrance to Blue Barn/Pomona. Slow down in this region and look for the turn off.
  2. Park anywhere in the large lot.
  3. The wedding venue (Pomona) is the building to the left (north). Head up the curved walkway and to the front doors. You should be met by our wedding coordinator, Hannah. Please text her as your arriving.
  4. When you enter, there is a Groom's Suite directly to the right. Hannah or her delegate will help you get in there to get ready. Help yourself to any of the snacks/water in there. Take water bottles with you or ask Hannah to bring some out to the floor so if you guys need a sip while you're out there.
